Step 1: Know What to Request
Don't just ask for "a sample." Specify exactly what you need:
- Standard sample: Off-the-shelf product, existing design
- Custom sample: Made to your specifications (longer lead time, higher cost)
- Pre-production sample: From the actual production line before bulk run
- Shipping sample: Final packaged version as customers will receive
Step 2: Sample Costs & Payment
Sample pricing varies widely:

Always request tracking numbers and compare shipping costs before choosing.
Step 4: What to Check When Samples Arrive
- Visual inspection: Color, finish, dimensions match specifications
- Functionality test: Does it work as described?
- Material quality: Feel, weight, durability
- Packaging: Is retail packaging ready? Is it damaged?
- Measurement check: Compare with spec sheet
- Photo documentation: Take photos for your records
Step 5: Sample Approval Process
Create a formal sample approval process:
- Document any issues with photos and notes
- Request revisions if needed (and ask for revised samples)
- Sign off formally (email approval is standard)
- Keep one approved sample as reference for bulk production
