Sample Ordering from China: Complete Guide for International Buyers

Why Samples Are Non-Negotiable

Ordering samples before committing to bulk production is the single most important risk-mitigation step in China sourcing. A $100 sample can save you from a $10,000 mistake.

Step 1: Know What to Request

Don't just ask for "a sample." Specify exactly what you need:

  • Standard sample: Off-the-shelf product, existing design
  • Custom sample: Made to your specifications (longer lead time, higher cost)
  • Pre-production sample: From the actual production line before bulk run
  • Shipping sample: Final packaged version as customers will receive

Step 2: Sample Costs & Payment

Sample pricing varies widely:

Product TypeSample Cost
Standard consumer goods$20-100 (often free)
Electronic products$50-300
Custom packaging$100-500
Machinery/equipment$200-2,000

Tip: Many Alibaba suppliers offer free samples — you only pay shipping. Take advantage of this.

Step 3: Shipping Samples

Use express couriers for samples:

  • DHL/FedEx/UPS: 3-7 days, $30-80 for small packages
  • EMS (China Post): 7-15 days, $15-40 for small packages

Always request tracking numbers and compare shipping costs before choosing.

Step 4: What to Check When Samples Arrive

  1. Visual inspection: Color, finish, dimensions match specifications
  2. Functionality test: Does it work as described?
  3. Material quality: Feel, weight, durability
  4. Packaging: Is retail packaging ready? Is it damaged?
  5. Measurement check: Compare with spec sheet
  6. Photo documentation: Take photos for your records

Step 5: Sample Approval Process

Create a formal sample approval process:

  • Document any issues with photos and notes
  • Request revisions if needed (and ask for revised samples)
  • Sign off formally (email approval is standard)
  • Keep one approved sample as reference for bulk production

Common Sample Mistakes to Avoid

  • ⚠️ Ordering samples from only one supplier — compare at least 3
  • ⚠️ Not specifying "production standard" samples
  • ⚠️ Skipping samples for "simple" products
  • ⚠️ Not checking sample packaging quality
  • ⚠️ Forgetting to test under real usage conditions
