Quality Issues Happen — Here's How to Handle Them
Even with careful screening, quality issues can arise. How you handle them determines whether you save the relationship or lose your investment.
Step 1: Document Everything
Take photos and videos of defects. Keep communication records. Have the original specification sheet and approved sample ready for comparison. Good documentation is your strongest leverage.
Step 2: Communicate Calmly
Don't send angry emails. Chinese business culture values harmony. State the facts, show evidence, and propose a solution. Frame it as "how can we solve this together" rather than "you made a mistake."
Step 3: Negotiate a Resolution
Common resolutions: price reduction (10-30% discount for defect percentage), partial refund, replacement production (with faster shipping covered by factory), or return/refund for severe quality issues.
Step 4: Escalate If Needed
If the supplier refuses to cooperate: open a dispute on Alibaba (Trade Assurance cases), use a third-party mediator, consult with a China-based legal expert, and as a last resort, pursue legal action through Chinese courts.
