Essential Documents for Importing from China
Proper documentation is crucial for smooth customs clearance. Missing or incorrect documents can cause delays, storage fees, and even cargo seizure. Here's your complete checklist.
1. Commercial Invoice
Details: Seller and buyer info, product description, unit price, total value, Incoterms, payment terms, HS codes. Must match the packing list exactly.
2. Packing List
Details: Number of packages, weight (gross/net), dimensions, carton markings, contents per carton. Customs uses this to verify the shipment matches the invoice.
3. Bill of Lading (B/L) or Air Waybill (AWB)
B/L is the contract of carriage and title document for sea freight. AWB serves as receipt and contract for air freight. Must be original or telex release.
4. Certificate of Origin (CO)
Proves where goods were manufactured. Required for tariff preference under free trade agreements. Get from China Chamber of Commerce or your freight forwarder.
5. Import License (if applicable)
Required for regulated products: food, pharmaceuticals, chemicals, electronics, weapons, etc. Check with your country's customs authority.
6. Customs Declaration Form
Filled by your customs broker. Includes HS code classification, valuation, and duty calculation. This determines how much duty you pay.
7. Insurance Certificate
Proof of cargo insurance. Required for CIF shipments. Recommended for all shipments — typically 0.3-0.5% of cargo value.
8. Other Documents (as needed)
- Inspection Certificate: From SGS, Bureau Veritas, or Intertek
- Health Certificate: For food and agricultural products
- Fumigation Certificate: For wooden pallets/crates
- Test Reports: CE, RoHS, FDA, etc.
- Certificate of Analysis: For chemicals and raw materials
